Shift planning in healthcare is not just an administrative task. In the AKESO healthcare group, it means coordinating operations across 21 entities, more than 2,000 employees, and approximately 100 departments, centers, and outpatient units.
Every month, more than 30,000 shifts and duties need to be planned. The schedule must take into account staff availability, qualifications, legal requirements, operational needs, and employee preferences.
How we solved the problem /

DNAi developed Směnovka, a system that transforms shift planning from paper and spreadsheets into a controlled digital process.
The system combines employee preference collection, automatic schedule generation, qualification and authorization checks, staff sharing across facilities, and change management within schedules. Managers can edit plans, simulate different scenarios, and quickly respond to changes in staff availability.
Employees can view their shift schedule directly in a mobile interface and receive information about changes, absences, or other operational anomalies.

The solution is built on an optimization engine for combinatorial planning, working with both hard and soft rules configurable according to the needs of the hospital.

Směnovka is currently used at selected workplaces, with the rollout planned to expand to up to 2,600 employees and dozens of planning managers.
Based on the project model, full deployment can significantly reduce the time required for key planning processes:
- collection of requirements from 6 hours to 1 hour
- schedule creation from 24 hours to 1 hour
- preparation of accounting inputs from 32 hours to 2 hours
At full deployment for approximately 2,600 employees, the estimated potential savings amount to up to 10,400 hours per month.
