AKESO: shift planning for 2,000+ staff, from 24 hours to 1.

How an optimization engine moved shift planning at the AKESO healthcare group from paper and spreadsheets to a controlled digital process.

Shift planning board with colored cards
24 h → 1 hto create a schedule
32 h → 2 hto prepare accounting inputs
10,400 hpotential savings a month at full rollout

The task

Shift planning coordinates 21 entities, more than 2,000 employees and around 100 departments, centers and outpatient units. Every month more than 30,000 shifts and duties must be planned — with staff availability, qualifications, labor law, operational needs and employee preferences all taken into account.

What we built

Směnovka turns shift planning into a controlled digital process. It combines employee preference collection, automatic schedule generation, qualification and authorization checks, staff sharing across facilities and change management. Managers edit plans, simulate scenarios and respond to staffing changes; employees see their schedules on mobile.

  • Optimization-based planning of shifts and duties
  • Qualifications, authorizations and labor-law constraints
  • Fairness scoring for shift distribution
  • Continuous recalculation after manual adjustments
  • Access and security via OAuth / Microsoft Entra; accounting connection (ESO9)

The result

  • Collecting requirements: 6 hours → 1 hour
  • Creating the schedule: 24 hours → 1 hour
  • Preparing accounting inputs: 32 hours → 2 hours
  • In use at selected workplaces; rollout planned for up to 2,600 employees, with estimated savings of up to 10,400 hours a month
